Manet Community Health (Manet) is an independent, not-for-profit federally qualified health center.  With a mission to ensure quality, comprehensive health care for all, Manet is fully licensed by the Department of Public Health and accredited by The Joint Commission.  Manet serves all patients regardless of their ability to pay or health insurance status and is especially committed to providing services for the medically underserved and ensuring that patients have access to the highest quality healthcare.  Manet has multidisciplinary staff who deliver care and services across eight practice sites and one community outreach location. Our sites are located in Quincy, Hull, Taunton and Attleboro, Massachusetts.

 

General Definition and Scope of Job

The Administrative Assistant will be responsible for preparing meeting agendas and taking meeting minutes. Coordinate logistics for meetings, including room setup and catering needs and calendar management, producing and maintaining monthly reports as requested by senior team.

 

Core Responsibilities

  • Treat staff and others with care, respect, dignity, and privacy
  • Handle sensitive information in a confidential manner.
  • General office duties include but are not limited to setting up meetings, maintaining files, tracking office inventory and orders, mail distribution, copying, scanning and faxing.
  • Answer and direct phone calls and emails, take messages, and field/answer all routine and non-routine questions.
  • Available to staff and patients to serve as a notary public when requested
  • Prepare meeting agendas and meeting minutes
  • Calendar and meeting room management for some senior and management staff.
  • Office organization – maintain physical and digital filing system
  • Assists with meeting planning, meeting material preparation, food ordering, meeting room set up, and breakdown.
  • Orders office supplies
  • Project work with various departments as needed and assigned by supervisor
  • Special Events support
  • Mailings/mailing list preparation and processing
  • Performs other duties as required or requested

 

Minimum Skills, Experience and Educational Requirements

  • High School Diploma or equivalent required; Associate degree preferred;
  • Strong computer skills; proficient with Microsoft Office, including Word, Excel, and Power Point.
  • Must have computer accuracy and speed
  • Basic filing and typing skills;
  • Must have strong communication skills;
  • Ability to multi-task and change gears quickly;
  • Personable and approachable demeanor with a positive attitude;
  • Ability to work independently or as part of a team
  • Must be able to read and write English.

Required Certifications and Licenses

Notary Public within 6 months of hire

  • Manage multiple tasks/requests and prioritize appropriately.
  • Ability to function in a faced paced setting.
  • Attention to details and prompt follow up;
  • Includes walking and standing for long periods of time, sitting for short periods of time, hand dexterity, clear hearing and speaking ability. Must be able to lift a maximum of 1/3 of their body weight;
  • Excellent organizational and interpersonal skills.

  • Stressful at times due to competing project priorities.

 

Required Availability

May be required to work a rotating schedule as the department requires. This includes evenings, holidays and weekends.
