POSITION TITLE: Scheduler
REPORTS TO: Director of Operations
FLSA Status: Non-Exempt

General Definition and Scope of Job
The Scheduler will maximize the timeliness of clinical staff schedules and is responsible for arranging coverage for all open shifts. This involves scheduling providers, and staff to support all 5 sites. She/he will coordinate the schedule between the clinic hours, clinical services and providers, and provides the clinical staff with a complete overview of the scheduled monthly itinerary. This position will create provider templates, complete schedule changes, produce reports of clinical hours, and track provider timesheets for accuracy.

Core Responsibilities
1. Sets up appointment templates for Physicians, Midlevel’s, Nurses, Medical Assistants, Nutritionists, Diabetic Nurse Educator, Care Managers, Free Care staff, and covering physicians.
2. Demonstrates proficiency in design of templates using the following options:
• Main Template
• Alternate Template
• Rotating Weeks
• Exception Days
• Holiday Schedule
• Meeting Schedules
• Vacation/Time off Schedules
3. Completes schedule changes in a timely manner.
4. Demonstrates proficiency in components of schedule changes:
• Blocking a schedule
• Copying Schedules
• Performing a block move of patients
• Changing provider locations
5. Communicates changes to Operations Supervisors and or Managers in a timely fashion.
6. Produces and distributes Excel spreadsheets to the Director of Operations in a timely manner.
7. Acts as a liaison across all departments to ensure outages, time off, and continuing education dates are communicated.
8. Produces monthly and YTD Excel reports of scheduling activity per Director Operations.
9. Maintains requested time off forms to incorporate into the Provider Schedule and Pay Com.
10. Assists Director Operations in tracking of Provider’s time sheets and invoices to ensure accuracy.
11. Performs other related job functions as required.

Minimum Skills, Experience and Educational Requirements
HS diploma/GED; knowledge of medical terminology; 2 years of medical experience preferred; excellent keyboarding experience; PC experience.
She/he must be a strong team player with good oral and written communication skills and an effective and polished presentation manner. Have the ability to be self-direct, self-motivate, and to prioritize multiple projects and objectives. Have the ability to articulate complex concepts in a concise manner, that it is easily understood by a diverse audience. Must be able to work collaboratively interdepartmentally, exchange ideas and discuss resolutions of issues to achieve clinical objectives.

• Includes walking and standing for long periods of time, sitting for short periods of time, hand dexterity, clear hearing and speaking ability. Must be able to lift a maximum of 1/3 of their body weight.
• Excellent organizational and interpersonal skills.

• Stressful at times due to competing demands, including attention to multiple patients and staff.
• Will comply with all applicable laws, and will cooperate with the Manet Community Health Center compliance program rules and regulations.
